Do a Stellar Job of Thanking Your Donors

Year-end fundraising season is underway. You may have started working on your appeal, which is great. But don’t stop there. It’s just as important, if not more important, to plan how you’ll thank your donors. 

I highly recommend creating a thank you plan, which will help you show gratitude before, during, and after a campaign. 

Your donors deserve a stellar thank you. The problem is most thank yous don’t come anywhere close to being stellar. Many organizations treat thanking their donors as an afterthought and it shows. You can’t do that. It will hurt your chances of getting future donations.

There are many ways to thank your donors after an appeal – by mail, phone, email, on your website, or a combination of those. The more you can do, the better.

Thanking your donors is something you need to do well. Don’t shortchange your donors with a half-hearted, generic thank you.

Do a stellar job of thanking your donors. Make it a priority. Here are a few ways to do this. 

Start planning now

Don’t wait until the day after your appeal goes out. Give yourself plenty of time to plan. Write your thank you letter at the same time you write your appeal. 

Figure out what you’ll be able to do. I highly recommend a handwritten note or phone call. Can you do that for all your donors? If not, maybe you’ll break it down by new donors, long-time donors, or donors who have given a certain amount.

It’s important to thank your donors as soon as possible. I understand that handwritten notes and phone calls take more time, especially during the busy year-end season. If that’s the case, you can and should do those at other times of the year instead.  At the very least, your donors should get a letter, even if they’ve donated online. Thank you emails tend to resemble receipts, but we can change that. Whatever you decide, remember to get started on the content now. 

In the past, the standard was to send thank you letters within 48 hours. If that’s too hard, don’t wait much longer than a week. Make sure you’re ready to go when the donations come in. 

Make your donor’s day with a handwritten thank you note

I love it when a nonprofit sends a handwritten thank you note. This is a rare occurrence, so if you do it, your thank you note will stand out in your donor’s mailbox.

Handwritten notes are great in many ways, but one advantage is you don’t have to write that much. In fact, you can do one in just a few minutes.

You could make thank you cards with an engaging photo or buy some nice thank you cards. Get together a team of board members, staff, and volunteers right after your appeal goes out to help you with this.

Think about how much your donors will appreciate this nice gesture. Here’s a sample note.

Dear Cara,

Thank you so much for upgrading your gift to $75. We’re still seeing more people coming into the Eastside Community Food Pantry. It’s difficult for many families in the community to afford groceries. Your generous gift will help a lot. We’re so happy you’ve been a donor these past five years.

Phone calls are another personal way to show appreciation

Calling first-time donors is known to improve retention rates. But you could also call long-time donors to make them feel special.

Again, you want to get a team together to help. This is a great thing for your board to do. Here’s a sample phone script.

Hi David, this is Tracy Clark and I’m a board member at the Eastside Community Food Pantry. Thank you so much for your generous donation of $50 and welcome to our donor family. Your gift will help feed more local families right now. Many of them are struggling since grocery prices are so expensive.

Write that stellar thank you letter

If it’s impossible to send handwritten notes or make phone calls, you can still impress your donors with a stellar thank you letter. As I mentioned before, many thank you letters aren’t stellar at all and are mediocre at best. You’ll have an advantage if you take some time to create a great, donor-centered letter.

The purpose of a thank you letter is to thank your donors. Keep that in mind at all times.  

Don’t start your letter with On behalf of X organization…. If you’re sending it on your letterhead, it should be obvious it’s coming from your organization. Instead, start your letter with – Thank you, You’re amazing, or You did something great today!

You also don’t need to explain what your organization does. This often comes across as bragging by saying something like – As you know, X organization has been doing great work in the community for 20 years…. Someone who’s donated to your organization should already be familiar with what you do. 

And, don’t ask for another gift in your thank you letter. You did that in your appeal letter. You can ask again another time. Always keep gratitude front and center.

Write separate thank you letters for different types of donors. Welcome new donors and welcome back your current donors. Monthly donors should also get special recognition.

Your thank you letter needs to make your donors feel good about giving to your organization. Let them know how their gift is helping you make a difference. Include a brief story or example, such as the sample handwritten note or phone script I included above.

As with all writing, make your letter personal and conversational. Write to the donor using you much more than we and leave out jargon and any other language your donors won’t understand. Also, you must address your donors by name – not Dear Friend. Personalization is crucial when thanking your donors.

I’ve been emphasizing the importance of envelopes lately. Don’t use a boring, white #10 envelope. Make your letter stand out by using a colored or textured envelope. You could include a teaser that says Thank You and use a nice stamp (You can buy thank you stamps). Hand address the envelopes if you can and include a handwritten note inside that will help make it more personal. You could also include an engaging photo in the letter.

Yes, you do need to include the tax-deductible information, but do that at the end, after you impress your donors with your letter, or include it on a separate page. It’s easiest to include this with your thank you letter or email. Then you don’t have to send it again unless your donor requests it.

Create a more personal online thank you

The thank you plan I reference above gives you advice on how to create better thank you landing pages and email acknowledgments. These often come across as transactional. You need to think of the donations you receive as the start or continuation of a relationship, not a transaction.

Remember, even though your online donors will get an electronic acknowledgment, they should still get thanked by mail or phone. I like to think of the landing page, email, and what comes in the mail or by phone as the thank you journey. Don’t forget this is an ongoing journey.

Prioritize Gratitude by Creating a Thank You Plan

Thanking your donors is just as important, if not more important than fundraising. Yet many organizations spend a lot of time putting together a fundraising campaign and treat thanking their donors as an afterthought.

Donor retention continues to be a problem. Prioritizing gratitude and donor relations will help. If you don’t do a good job of thanking your donors, as well as building relationships throughout the year, you’ll have a hard time getting people to people to donate again.

This is why having a thank you plan is crucial. It’s not only important when you’re running a fundraising campaign, but also during the “between times.”

Many organizations just thank their donors after they receive a gift and then disappear until the next fundraising appeal. Your donors deserve better than that. 

Thanking your donors is something you need to do throughout the year – at least once a month, if you can. A thank you plan will help you stay focused on gratitude all year round.  

Here’s what you need to include in your thank you plan.

Plan to make a good first impression with your thank you landing page

Your landing page is your first chance to say thank you and it shouldn’t resemble Amazon checkout. It should make a person feel good about giving a donation.

Open with Thank you, Kara! or You’re amazing! Using a person’s name is always good. Include an engaging photo or video and a short, easy-to-understand description of how the donation will help your clients/community.

If you use a third-party giving site, you might be able to customize the landing page. If not, follow up with a personal thank you email message within 48 hours.

Plan to write a warm and personal automatic thank you email

Set up an automatic thank you email to go out after someone donates online. This email thank you is more of a reassurance to let your donor know you received her donation. You still need to thank her by mail or phone.

Just because your thank you email is automatically generated, doesn’t mean it needs to sound like it was written by a robot. Write something warm and personal. Again, be sure to address your donor by name.

Give some thought to the email subject line, too. At the very least make sure it says Thank You or You did something great today and not anything boring like Your Donation Receipt or Donation Received. And please stop using words like transaction and processed. A donation is not a transaction. It’s the start or continuation of a relationship.

Put all the tax-deductible information at the end of your email, after you pour on the appreciation.

Plan to thank your donors by mail or phone

I’m a firm believer that every donor, no matter how much she’s given or whether she donated online, gets a thank you card or letter mailed to her or receives a phone call.

Try to thank your donors within 48 hours or within a week at the latest. That might sound hard to do, but it will be easier if you plan to carve out some time to thank your donors each day you get a donation. Remember, thanking your donors should be a priority. If you wait too long, you’re not making a good impression.

Instead of sending the usual generic thank you letter, mail a handwritten card or call your donors. Find board members, staff, and volunteers to help you with this. Make sure to get your team together well before your next fundraising campaign so you’re ready to go when the donations come in. 

I’m a big fan of handwritten thank you cards and you’ll stand out if you can send one. I get a few of them a year and they tend to come from the same organizations, which shows you what they prioritize! These may be more feasible than making phone calls. Not everyone likes to get phone calls, but some people do. This is why it’s important to know your donors’ communication preferences (more on that below).

Here’s a sample thank you note that could also be used as a phone script.

Dear Jason,

You’re amazing! Thanks to your generous donation of $50, we can continue to provide neighborhood families with healthy food. This is great. We’re seeing more people come in right now because of rising food costs and cuts in benefits.

We really appreciate your support over the last four years.

Sincerely,

Lisa Barnes

Board Member, Eastside Community Food Pantry

If you can’t send handwritten cards or call all your donors, send them a personal and heartfelt letter. If you’ve been using the same letter template for a while, take time to freshen it up. Don’t start your letter with On behalf of X organization, we thank you for your donation of…. 

Open your letter with You’re incredible or Because of you, the Miller family can finally move into their own home. Create separate letters for new donors (new donors should also get a welcome package), renewing donors, and monthly donors. Be sure it’s personalized and include at least one photo.

It doesn’t need to look like a form letter. You could use a different format, such as a postcard. For a thank you right after a gift, I would put a postcard in an envelope. You can send stand-alone postcards at other times of the year.

Your thank you should be all about thanking the donor – no bragging, no explaining what you do, no asking – just thanking.

You can add a personal handwritten note to the letter, preferably something that pertains to that particular donor. For example, if the donor has given before, mention that. Hand sign the letters, if you can.

Just like with fundraising appeals, your envelope matters. Use something besides a white #10 envelope. It shouldn’t look like a bill or junk mail. Keep thinking about making it personal. Hand address the envelopes if possible or print directly on them. Use stamps, if you can. I recommend investing in Thank You stamps.

In addition, write your thank you letter at the same time you write your appeal letter. Make sure they’re ready to go as soon as the donations come in. Don’t wait three weeks. Timeliness is important, and so is quality.

Plan to keep thanking your donors all year round

This is where having a thank you plan makes a difference because as I mentioned before – thanking your donors is something you must do all year round. 

You can use your communications calendar to incorporate ways to thank your donors, but why not go one step further and create a specific thank you calendar?

Remember to try to say thank you at least once a month. Here are some ways to do that. 

  • Send cards or email messages at Thanksgiving, during the holidays, on Valentine’s Day, or mix it up a little and send a note of gratitude in June or September when your donors may not be expecting it. Try to send at least one or two gratitude messages a year by mail, since your donors will be more likely to see those. And you don’t need a holiday or special occasion to thank your donors. Thank them just because….
  • Invite your donors to connect with you via email and social media. Keep them updated on your success and challenges. Making all your communications donor-centered will help convey an attitude of gratitude. Be sure to keep thanking your donors in your newsletter and other updates. Emphasize that you wouldn’t be able to do the work you do without their support.
  • Create a thank you video and share it on your thank you landing page, by email, and on social media. Go one step further and personalize it. 
  • Reach out to your donors on the anniversary of their giving (not your organization’s anniversary). Don’t overlook your dedicated, long-time donors.
  • Send a warm-up letter or email about a month before your next campaign (no ask). This is a great way to show appreciation BEFORE you send your appeals.
  • Hold an open house or offer tours. You could also create a virtual tour or a behind-the-scenes look at your organization.
  • Keep thinking of other ways to thank your donors. You can repeat some of the ones listed above over the year.

The tactics that work best are going to differ for each organization. I would definitely send something by mail a few times a year. Email and social media may not be as successful, especially if your donors don’t use electronic communication very much. 

I recommend surveying your donors to find out their communication preferences. What do they like – mail, email, phone, text, social media, video, or a combination of those?  Find out their interests, too. This will help with your engagement.

Creating a thank you plan will make it easier to keep showing appreciation to your donors all year round. You need your donors, so don’t hold back on that always-important gratitude.

Rise Above Mediocrity With the 5 C’s of Good Nonprofit Communication

Unfortunately, a lot of nonprofit communication is not that great. Something that can help is the 5 C’s. Keep these in mind when you’re writing a fundraising appeal, thank you letter, update, or any type of donor communication.  

Is it Clear?

What is your intention? What message are you sending to your donors? Are you asking for a donation, thanking them, or sharing an update? 

Whatever it is, make sure your message is clear. If you have a call to action, that needs to be clear, as well. You also want to stick to one call to action. Don’t distract your donors with too many choices. If you ask them to make a donation, volunteer, and contact their legislators in the same message, you run the risk of them not doing any of those.

You want your message to produce results. Plain and simple, your fundraising appeal should entice someone to donate. Your thank you letter should thank your donors (no bragging or explaining what your organization does) and make them feel good about donating.

Use language your donors will understand (no jargon). Keep out terms like food insecurity and underserved communities. Just because something is clear to you, doesn’t mean it will be clear to others. 

Is it Concise?

Can you say more with less? Eliminate any unnecessary adverbs, adjectives, and filler. Make your point right away. Concise writing doesn’t mean you need to be terse or all your print communication has to be one page. Sometimes it will need to be longer, but the same rules apply. 

Nonprofit organizations like to pack a lot of information into their monthly/quarterly newsletters and impact reports, but many donors won’t read something if it looks like it will be too long. 

Shorter, more frequent communication is better. This applies to the example I gave above about not putting more than one call to action in a message. You’ll have better results if you send separate messages for each call to action.

Also, most people skim, so use short paragraphs and lots of white space, especially for electronic communication.

Make all your words count.

Is it Conversational?

Write as if you’re having a conversation with a friend and be personable. Use the second person – where you refer to your donors as you and your organization as we. Remember to use you much more than we. 

Avoid using jargon, cliches, multi-syllable words, and the passive voice. Is that the way you talk to your friends? I hope not.

You may think you’re impressing your donors by using jargon and big words, but most likely you’re confusing them or even worse, alienating them. Connect with your donors by using language they’ll understand.

Is it Compelling?

Is whatever you’re writing going to capture someone’s attention right away and keep them interested? The average human attention span is eight seconds, so the odds are stacked against you. If you can’t stand out, your donors are going to move on to something else.

Start with a good opening sentence. Leading with a question is often good. Stories are also great. 

Put a human face on your stories and keep statistics to a minimum. Start a fundraising appeal with an engaging story that leads to a call to action.

Are you establishing a connection?

Donors are drawn to your organization because they feel a connection to your cause. You also need to establish a connection with them. You can start by segmenting your donors by different types, such as new donors, current donors, and monthly donors. 

Get to know your donors better and give them content you know they’ll be interested in. Hint – it’s not bragging about your organization. They want to know how they’re helping you make a difference for your clients/community. They also want to feel appreciated. Focus on building and sustaining relationships.

Rise above mediocrity and keep these 5 C’s in mind to help ensure good communication with your donors.

Don’t Take a Vacation from Your Donor Communication

It’s summer! More people may be traveling this summer and I hope you’ll also get a chance to take a vacation (or a staycation). I can’t say we’re living in normal times. There’s a lot going on, including an uncertain economy. Fundraising numbers are down and who knows how year-end will go, but it’s important to stay strong and not pull back.

This may be a quieter time for your nonprofit, but you don’t want to be too quiet and ignore your donors. Something the pandemic taught us is we should communicate more during tough times. This would be a great time to do some relationship building

You should be communicating with your donors at least once a month and that includes the summer months. Don’t make the mistake of taking a vacation from your donor communication. Continuing to stay in touch with your donors will help you when you launch your fall fundraising campaign. 

Maybe this sounds impossible, especially if you’re a small organization, but you can do this!

Here are a few ways you can connect with your donors this summer, as well as throughout the year, and build those important relationships. 

Make your donor’s day with a handwritten thank you card

Nonprofit organizations don’t thank their donors enough. You don’t need a reason to thank your donors. Just do it and do it often. You’ll stand out if you do.

This is a good time to do something personal, such as sending a handwritten thank you card. Pour on the gratitude and let your donors know how much you appreciate them.

You only need to write a few sentences, but make it warm and friendly. You can even think of it as having a conversation with a friend. Get board members and other volunteers to pitch in and help.

Send a postcard

It used to be fairly common for people to send postcards when they went on vacation. I don’t know how many people still do that, although I always enjoy receiving them.

Postcards are a great way to connect with your donors. Communicating by mail is more effective than electronic communication. I know mail is expensive, but a postcard shouldn’t cost too much. Your donors are also more likely to see your messages if you send them by mail. 

You can say thank you, share an update, or a combination of both. Besides feeling appreciated, donors also like to hear how their gift is making a difference. You could consider an infographic postcard.

Sending something by mail is an investment that could pay off if your postcard (or handwritten card) entices a donor to give again and possibly upgrade.

Email and social media are okay, too.

While it’s important to stay in touch once a month, it may not be possible to use direct mail that much. You can also use email and social media. Email has an advantage here because you can personalize your messages and the engagement levels are better, although not as good as direct mail.

You could send your donors a thank you photo or video. Maybe you already do a monthly e-newsletter. Jazz it up a little. You could even make it shorter. Share a story that lets your donors know how they’re making a difference for your clients/community.

You don’t need anything fancy and make it easy for yourself by keeping it simple. There are so many ways to thank your donors and share an update. It’s okay to have a little fun and get creative.

Tie in current situations

We’re facing a lot of economic uncertainty, but donors want to help if they can. 

Will certain policies or budget cuts affect your organization? Many states have issued their budgets for the next fiscal year.

Share ways your donors can help – perhaps by contacting their legislators, volunteering, or making a donation.

Advocacy alerts can be a great way for people to engage with your organization. Be sure to thank participants and keep them updated on any outcomes.

When all levels of government make funding cuts or policy changes, the need in the community grows, which puts more burden on nonprofit organizations. Remember, some donors will step up and help, if they can. 

Make room for improvement and plan ahead

The summer can be a good time to make improvements in your existing communication. Spend time finding some engaging stories and photos for your newsletters and other updates. This is also a good time to warm up your donors for your fall campaign.

Start working on your appeal and thank you letters for your next campaign. Make sure they focus on building relationships and are donor-centered. Segment your donors by different types – new, renewing, monthly, etc.  Also, make sure your CRM/database is up to date.

If you’re feeling pinched financially, you may want to start your fall campaign earlier – September/October instead of November/December. A few ways to raise additional revenue are to invite current donors to join your family of monthly donors and reach out to your lapsed donors.

For now, keep relationship building front and center. Keep communicating with your donors. They want to hear from you. Don’t take a vacation from your donor communication.

Give Your Donors The Best Experience Possible

It’s time to put yourself in your donor’s shoes. What kind of experience are you giving them when they interact with your organization? Is it good, bad, or somewhere in between?  Let’s look at some of the different aspects of fundraising and donor communication to see what kind of experience you’re giving your donors.

The Fundraising Appeal Experience

Your donor receives an appeal from you. At least one appeal per campaign should come by mail because your donor will be more likely to see it and take action. Donors can get a lot of fundraising appeals from many different organizations, especially on GivingTuesday and at year-end. What are you doing to make yours stand out?

Does your appeal address your donor by name and take into account any past giving? Is it easy to read and scan and include a story and a clear, prominent ask that lets know the donor know how she can help make a difference for your clients/community?

Or is it a generic, longwinded mess in a tiny font? Are you using jargon and other language your donor won’t understand? Are you focusing too much on your organization so your reader feels like an afterthought?  

You only have seconds to capture your donor’s attention and get her to make a donation. If this is not a good experience for her, well, I think you know what will or won’t happen.

The Giving Experience

Congratulations, someone has decided to make a donation. Since most people give online, I’ll focus on that first.

They’re on your website ready to give. How’s that going to go? Do you have a branded donation page (worth the investment) that’s easy to use and navigate? That means keeping it simple without too many fields to fill out and not making people set up an account. It also needs to be accessible on a mobile device. If your donation page is a pain to deal with, you run the risk of someone giving up and not donating. 

Speaking of websites, your entire site needs to provide a good experience for your donors, as well.

While many donors give online now, not everyone is comfortable doing that. Be sure your direct mail appeal includes a reply envelope so someone can send you a check. Your mailing address should be included in your email appeal and on your website. 

Other donors may want to give by phone. Is it easy to reach you by phone? Several years ago I was doing work with an organization that was holding an event. Someone wanted to register by phone and the staff person tried to get her to register on their website. Um, she wouldn’t have called you if she wanted to do that.

Meet your donors where they are to give them the best giving experience. 

The thank you experience

Okay, your donor has made a gift, but her journey isn’t over. In fact, it’s just beginning.

If someone donates online, what happens next? Is she directed to a thank you landing page that showers her with appreciation or does it look like a transactional receipt? It’s not that hard to make an engaging landing page, maybe one that says Thank you Kim! and includes a thank you photo or video and other ways to get involved.

The same goes for the automatically generated thank you email. Make sure your donor experiences some gratitude here. There’s no reason why you can’t craft an engaging, personal thank you message.

All donors whether they give online or by other means get a thank you by mail or phone. Donors may miss your email, but something by mail or phone will stand out. If you can do a handwritten thank you card or make a thank you call, all the better.  

At the very least, send a thank you letter, maybe with a short personal note. The recommendation is to get thank you letters out within 48 hours. If that’s going to result in a mediocre letter (which many of them are), then it’s okay to take a week to produce a stellar letter. A stellar letter would be one that’s personal and takes into account whether a donor has given before. It’s also all about thanking the donor – not bragging, explaining what your organization does, and asking for another gift.

Don’t wait too long, though. What are telling your donors if it takes you months to send out a thank you letter? They deserve a better experience.

To give your donors the best thank you experience, make a plan to show gratitude once a month. Use this opportunity to send a handwritten note. It’s always a welcome surprise if you do this.

The donor engagement experience

Showing gratitude is just one way to engage with your donors. They also want to hear how their gift is making a difference.

You may send newsletters and other updates, but what kind of experience are you providing? Are you sharing stories and other content you know your donors will be interested in? Or is your newsletter just one big, boring bragfest? Even if you’re sharing stories, are you making them engaging

Are you getting to know your donors? You could send them a short survey and ask what drew them to your organization. Do you send welcome packages to new donors? Do you do something special for long-term donors? Do you invite donors to engage with you in other ways, such as volunteering?

Keep in touch with your donors at least once a month. A communications calendar will help you with this. Remember the ask, thank, report, repeat formula. If all you do is send generic appeals, you’re not giving your donors a good experience.

Think of your donors at every level of their journey to give them the best experience possible.

Does Your Audience Understand You?

One of the most important aspects of communication (written and verbal) is to make sure your audience understands you. There are many reasons this doesn’t happen. In nonprofit communication, people will overcomplicate things or use jargon and other language donors don’t understand. Some people like to show off their big vocabulary.

The problem is if your audience doesn’t understand you, you can’t connect with them. You may have trouble convincing them to take action, such as making a donation.

Remember, you are not your audience and you need to keep them in mind when you communicate with them. Here’s what you need to do to make sure your audience understands you.

Write at a sixth to eighth-grade level

This is not dumbing down. You’re smartening up, so you can ensure your donors will understand you.

I find it annoying if I come across a word I don’t understand and have to look it up. I have a pretty good vocabulary, but wonder why the writer didn’t use a more understandable word. Some people might not bother to look something up and then won’t know what you’re trying to convey.

Maybe we’re going back to our school days when we were encouraged to use all those big vocabulary words we studied or write lengthy, complex essays.

A readability tool, such as Flesch Kincaid, can help you with this.

Stop using jargon

One of the biggest culprits here is using jargon. Over the last three years, we’ve seen many examples of real problems affecting real people. We’ve also seen more authenticity. Yet, some nonprofit organizations are still using jargon in their donor communication.

They may be using the same, boring templates they’ve used for years or they’re so used to some of these terms that they don’t realize these terms fall flat with their donors. I think people use jargon because it’s insider language that makes them feel like they’re “in the know” in their professional community. It’s easy to slip into jargon mode in your work environment. But the danger comes when jargon creeps outside of your insular world and into your donor communication.

Sometimes we get lazy and use jargon when we can’t think of anything fresh and original. Instead, you see appeal letters, thank you letters, newsletter articles, and impact reports laced with cringe-worthy terms such as food insecurity, at-risk youth, and underserved communities. While donors may know what some of these terms mean, they’re vague, impersonal, and can come across as demeaning.

How to break free from your jargon

You may know you need to freshen up some of your messages, but aren’t sure how to start. 

Sometimes you need to give a little more information. Let’s look at these problem terms and what you can say instead. You may use some of these terms internally and they might be in your mission statement, but please try to limit them when you communicate with your donors.

  • Food insecurity The USDA defines it as “a household-level economic and social condition of limited or uncertain access to adequate food.” Yikes, that’s a mouthful! I’ve never liked the term food insecurity because it’s so impersonal. We hear this term a lot right now because it continues to be a big problem. Let’s go a step further and put it in human terms by describing a situation where a single mother has to choose between buying groceries and paying the heating bill.
  • At-risk means there’s a possibility something bad will happen. Instead of just saying at-risk students or youth, tell a story or give specific examples of something bad that could happen or has happened. Our tutoring program works with high school students who are more likely to fail their classes, be held back, and drop out of school. Remote learning didn’t work for many of the students in our community and they have fallen behind. 
  • Underserved means not receiving adequate help or services. Instead of saying we work with underserved communities, explain what types of services these residents don’t receive. Maybe it’s healthcare, affordable housing, decent preschool education, or all of the above. Tell a story or give a specific example. Diana has to take two buses to see a doctor for her diabetes, because there isn’t a good healthcare facility in her community. She often feels wiped out after these trips, so sometimes she skips her appointments.

Another way to help you transition from jargon to understandable language is to stop using it in your work environment. That means at staff meetings and in interoffice written communication. Maybe you go so far as to re-write your mission statement to make it more conversational. And telling staff and board members to recite your mission statement as an elevator pitch is a bad idea unless you can make it conversational.

Tell a story

This is why stories are so important. You can get beyond that vague, impersonal language and jargon and let your donors see firsthand how they’re helping you make a difference for your clients/community.

Visualize your reader 

Donor or audience personas can be useful on many levels. How much do you know about your donors? The average age of a donor is 64. That’s something to take into account. So is what drew them to your organization.

I always like to use this analogy. Imagine you’re at a family gathering and you’re explaining what your organization does to your 75-year-old Aunt Shirley, or maybe it’s Uncle Ted. Does she look confused and uninterested when you use terms like underserved and at-risk, or does he perk up and want you to tell him more when you mention you’ve been able to help homeless families move out of shelters and into their own homes?

Imagine who’s reading your fundraising letter or other type of communication. Most likely, your donors don’t have a medical or social services background. They also don’t have a lot of time to look up something they don’t understand. 

What they do want is a personal connection and to be able to understand you.

Pay Attention to Your Donor Retention

Donor retention continues to be a problem for nonprofit organizations. Many organizations spend a lot of time and energy on acquiring donors, concentrating more on volume, and don’t seem to be concerned that they’re churning through different donors year after year.

There are many reasons donors don’t give again. Some you can’t control, but many you can. Maybe you’re losing donors because you’re either not communicating enough or communicating poorly. Fortunately, this is something you can fix, but you need to give it your full attention.

Pay attention to your donor relationships

One of the most important components of fundraising is building relationships with your donors. 

Donor relations should be easier than raising money, and it can be fun, too. Make it a priority, as well as something you do throughout the year.

Follow the ask, thank, report formula and give more attention to thanking and reporting. Donors are not ATM’s. They were drawn to your organization because they felt a connection to your work. They want to feel appreciated and hear how they’re helping you make a difference for your clients/community.

If you don’t pay attention to building relationships, your donors are less likely to give again.

Pay attention to your first-time donors

The retention rate for first-time donors is around 20%. Obviously, we can do better.

If you can get your first-time donors to give again, it’s much more likely they’ll keep giving. That second donation is known as the golden donation. This is why it’s important to engage with your new donors. 

Create a welcome plan that includes a series of messages for new donors. Recruit board members to make thank you phone calls. This is a proven strategy that results in donors giving again.

Let these donors know how much you appreciate this new relationship. If you don’t, it’s likely to be a short relationship. 

But don’t stop there, you also want to acknowledge your longer-term donors and make them feel special.

Pay attention to your lapsed donors

A lapsed donor is someone who hasn’t donated for at least a year. Make a plan to reach out to some of these donors and invite them to give again. Also, ask why they haven’t given. Maybe they forgot. Maybe they can’t afford to give right now. Maybe they were never thanked.

If a donor can’t afford to give right now, stay engaged with them. Maybe they’ll give again in the future. Also, some donors may choose to cut back on their giving. Don’t let them choose between an organization that does a great job of thanking them and sending engaging updates and the one that just sends a bunch of generic appeals.

Donor engagement is so important. A study by Donor Voice shows that donors are more likely to give again when they feel appreciated and the organization lets them know the impact of their gifts.

Pay attention to growing your monthly giving program

I’m a big proponent of monthly giving. Monthly donors have a much higher retention rate. Getting more monthly donors is one way to raise your overall retention rate.

Reach out to your single gift donors who have given at least twice and ask them to join your family of monthly donors. You can also invite donors to give monthly in your welcome package.

Pay attention to your donor communication 

Do you barrage donors with appeals and then go silent for a while? 

Ideally, you want to reach out somewhere between once a week and once a month. And not just with appeals. You need to thank donors and share updates. Remember the ask, thank, report formula. This is crucial for good donor retention. 

Try to reach out by mail at least a few times a year. It’s more personal and your donors are more likely to see your messages. It doesn’t have to be anything elaborate. A handwritten thank you card or a postcard infographic can be a quick, but effective, way to engage. 

Putting together a communications calendar will help you with this. 

You also want to focus on quality. Just because you send thank you letters and newsletters, doesn’t mean you’re actually engaging with your donors. Write a heartfelt, personal thank you and create a newsletter and other updates with content they’ll be interested in.

Pay attention to your donor data

Something else that will help you with donor retention is to invest in a good CRM/database. This will let you segment donors and personalize their communication. Then you can send targeted communication to new donors, long-time donors, lapsed donors, potential donors, etc. Invest in the best database you can afford. It should pay off.

You may think that paying attention to your donor retention sounds like a lot of work. Well, so is finding new donors.

Transform Your Annual Report Into an Impact or Gratitude Report

Annual reports get a bad rap in the nonprofit world. Many of them are long, boring bragfests with little appreciation for donors. They also require a lot of time and effort from staff and there’s no guarantee your donors will even look at them. 

What do you do? Organizations need to share accomplishments and show gratitude to their donors, but is the “annual report” the way to do that? 

First, let’s stop calling it an annual report and call it an impact or gratitude report instead. Plus, sharing accomplishments and showing gratitude is something you can do more than once a year (more on that below). In this post, I will use the term impact report (but don’t forget about gratitude).

It’s possible to make this a better experience for both donors and nonprofit organizations. Here’s how.

You don’t have to do an “annual report”

Nonprofit organizations aren’t required to do an annual report. This doesn’t let you off the hook for sharing accomplishments with your donors. You could send short impact reports a couple of times a year. This makes a lot of sense if taking on a big report sounds too overwhelming. Shorter, more frequent updates are better for your donors, too.

If you decide to do a report once a year, I encourage you to move away from the traditional multi-page one. Aim for something no longer than four pages. Bigger isn’t always better.

Your impact report is for your donors

Keep your donors in mind when you create your impact report and include information you know will interest them. Also, donors have a lot going on, so that’s another reason not to create a huge report that they may or may not read.

You might want to consider different types of impact reports for different donor groups. You could send an oversized postcard with photos and infographics or a one-to-two-page report to most of your donors. Your grant and corporate funders might want more detail, but not 20 pages. See if you can impress them with no more than four pages.

Pour on the gratitude

Donors want to feel good about giving to your nonprofit. Make sure your impact report is focused on thanking donors. You could go one step further and call it a gratitude report. If you decide to do three or four short reports a year (highly recommended), make at least one of them an all-out gratitude report.

Many donors have stepped up to help during the past three years and deserve to be thanked for that. Use phrases like Thanks to you or Because of you to show appreciation to your donors for their role in helping you make a difference. 

Tell a story

Donors want to hear about the people they’re helping. You can tell a story with words, a photo, or a video. 

For example – Jenna, a single mother with three kids, has been struggling to make ends meet over the last few years. It’s been hard to find steady work and rising food costs make it difficult to afford groceries. She also wonders if she’ll have enough money to pay rent and utilities each month. 

Jenna had never gone to a food pantry before and felt ashamed to have to do that. But when she reached out to the Northside Community Food Pantry, she was treated with respect and dignity. Now, thanks to donors like you, she’s able to bring home healthy food for her family.

An engaging story is one of the most important elements of your impact report.

Address the current situations

We’re still in a pandemic and while many people are returning to some sense of normalcy, its after effects are still with us. We’re also dealing with an uncertain economy and inequality. Your donors will want you to address these situations and focus on how they’re affecting your clients/community.

How are you making a difference?

The theme of many reports is look how great we are. They’re organization-centered instead of being donor-centered and community-centered.

They also include a bunch of statistics, such as the number of clients served. You need to share specific accomplishments that show how you’re making a difference.

Focus on the why and not the what. Numbers don’t mean a lot without a story or example. For instance, Thanks to donors like you, we were able to serve more students in our tutoring program. X number of students are now getting better grades and are able to graduate from high school on time.

Make it visual

Your donors have a lot going on and won’t have much time to read your report. Engage them with some great photos, which can tell a story in an instant. Choose photos of people participating in an activity, such as volunteers working at a food pantry or a one-to-one tutoring session. Be sure to get permission if you want to use pictures of clients.

Use colorful charts or infographics to highlight your financials. This is a great way to keep it simple and easy to understand. Include some quotes and short testimonials to help break up the text.

Be sure your report is easy to read (and scan). Use at least a 12-point font and black type on a white background. A colored background may be pretty, but it makes it hard to read. You can, however, add a splash of color with headings, charts, and infographics.

Write as if you’re having a conversation with a friend

Beware of using jargon. Most of your donors don’t use words like underserved or at-risk, and neither should you. Use everyday language such as – Because of you, we found affordable housing for over 100 homeless families. Housing prices continue to skyrocket and a shelter is no place to raise a family. Now, these families have a place to call home.

Write in the second person and use a warm, friendly tone. Use you much more than we.

Skip the donor list (and the letter from your executive director)

Think twice about including a donor list in your impact report. It takes up a lot of space and there are better ways to show appreciation. If you feel you must have a donor list, you could put one on your website or just include major funders. Including a QR code directing people to your website for more detailed information is a good way to ensure a shorter report.

Also, do you need a letter from the executive director? These tend to be very organization-centered. If you must have one, put the focus on thanking your donors.

Send it by mail

Be sure to send your impact report by mail. It’s more personal and donors are more likely to see it. Don’t let costs deter you from sending something by mail. Remember, you have the option of sending short impact reports.

You could also send an electronic version a few weeks later as a follow up.

Planning is key

I know putting together a yearly impact report can be time-consuming. One way to make it easier is to set aside a time each month to make a list of accomplishments. This way you’re not going crazy at the end of the year trying to come up with a list. You can just turn to the list you’ve been working on throughout the year.

You also want to create a story and photo bank and you can draw from those when you put together your impact report.

Creating a shorter report or an infographic postcard will also help make this easier for you. Once again, you have the option of not doing a yearly impact report and sending periodic short updates instead.

Whatever you decide, put together an impact report that’s a better experience for everyone.

Make Thanking Your Donors a Priority

Everyone likes to feel appreciated and that includes your donors. In fact, thanking your donors should be a priority for your nonprofit organization. Is that the case? Often the answer is no.

Thanking your donors is not just something you do after you receive a donation and then do nothing for a while. 

Gratitude is something you need to show all year round and with Valentine’s Day coming up, that’s a great opportunity to thank your donors and show them how much you appreciate their support.

Maybe you would rather not go the Valentine’s Day route, which is understandable. But you should still do something to show appreciation this month (and every month). The holidays are over and February can be a dreary month if you live in the Northern hemisphere. Your donors could use a little pick-me-up.

This is also a good opportunity to keep in touch with the people who gave to your year-end appeal, especially first-time donors. If you haven’t shown any appreciation since your year-end appeal, you don’t want to wait much longer.

Your donors have the option to give to countless nonprofit organizations, but they chose yours. Keep this quote from Mark Phillips in mind – “They are not your donors; you are one of their charities.” Shouldn’t they get some appreciation from you?

Here are a few ways you thank your donors throughout the year.

Create a thank you photo

You can send thank you photos via email and social media, use one to create a card, and include one on your thank you landing page.

Make a video

Videos are a great way to connect with your donors. They’re simple, yet effective, so don’t worry if you weren’t a film major. It’s not too hard to create a video.

One idea for your video is to show a bunch of people saying thank you. You’ll want your video to be short, donor-centered, and show your organization’s work up close and personal. You can also create personalized videos, which are always a nice gesture.

Your thank you landing page is the perfect place to put a video. This is your first opportunity to say thank you and most landing pages are just boring receipts (and receipts fall short when it comes to showing gratitude). You can also put your thank you video on your website and share it by email and social media.

Send a card

A handwritten note will also brighten your donor’s day. If you don’t have the budget to send cards to everyone, send them to your most valuable donors. These may not be the ones who give you the most money. Do you have donors who have supported your organization for more than three years? How about more than five years? These are your valuable donors. Other valuable donors are the ones who have been generous since the pandemic started. Don’t take any of these donors for granted.

That said, I do think you should make every effort to send a card to ALL your donors at least once a year. You can spread it out so you mail a certain number of cards each month, ensuring all your donors get one sometime during the year. 

Many organizations don’t send thank you cards, so you’ll stand out if you do.

Share an update 

In addition to saying thank you, share a brief update on your success and challenges. Emphasize how you couldn’t have helped someone without your donor’s support. For example –Thanks to you, Kevin won’t go to bed hungry tonight. It’s been tough for his family to make ends meet right now.

Phrases like Thanks to you or Because of you should dominate your newsletters and updates.

How you can do better

Make this the year you do a better job of thanking your donors. Remember, it should be a priority.

Thank your donors right away and send a thank you note/letter or make a phone call. Electronic thank yous aren’t good enough.

Be personal and conversational when you thank your donors. Don’t use jargon or other language they won’t understand. Write from the heart, but be sincere. Give specific examples of how your donors are helping you make a difference.

Also, make sure your thank you note/letter puts gratitude front and center. You don’t need to explain what your organization does, brag, or ask for another donation. You have plenty of opportunities to ask for donations. Plain and simple, the purpose of a thank you letter is to thank your donors.

I’m a big fan of communicating by mail, even if it’s only a few times a year. It’s much more personal. Yet, many nonprofits are skittish about spending too much on mailing costs.

If your budget doesn’t allow you to mail handwritten cards, is there a way you can change that? You may be able to get a print shop to donate cards. You could also look for additional sources of unrestricted funding to cover cards and postage. Think of these as essential expenses for your essential donors.

Maybe you need a change of culture – a culture of gratitude. This comes from the top, but you also need to get your board, all staff, and volunteers invested and involved in thanking your donors. 

You can’t say thank you enough. Make a commitment to thank your donors at least once a month. Create a thank you plan to help you with this. Planning ahead and creating systems makes a difference.

Keep thinking of ways to let your donors know how much you appreciate them. You don’t even need to wait for a holiday or special occasion. Just thank your donors because they’re amazing and you wouldn’t be able to make a difference without them.

Why Your Nonprofit Needs to Invest in Monthly Giving

Monthly giving is continuing to gain momentum and that’s always good, especially in this time of financial uncertainty. Let’s keep this up! If your organization doesn’t have a monthly/recurring giving program or it’s fairly small, now is a great time to start or grow your monthly giving.

In this post, I’ll tell you why monthly giving is so important for your nonprofit, how to start or grow your program, and how to nurture it going forward. 

Monthly giving helps you raise more money

Monthly or recurring donations can help donors spread out their gifts and it’s easier on their bank accounts. They might be apprehensive about giving a one-time gift of $50 or $100. But if you offer them the option of giving $5 or $10 a month, that may sound more reasonable. 

It can also give you a consistent stream of revenue throughout the year instead of at certain times, such as when you do individual appeals and (virtual) events and when grants come in.

Monthly gifts are smaller, but you can raise a lot of money with lots of small donations. Political candidates do it all the time. Also, monthly gifts aren’t as small as you think. The average is over $20 a month.

It can also be a more feasible way to get larger gifts. A gift of $100 a month may be more appealing to a donor than giving a large sum all at once. Even if they start with a smaller donation, monthly donors are more likely to become major donors and legacy donors.

It raises your retention rate, too

The retention rate for monthly donors is an impressive 90%. That’s significantly higher than other retention rates. 

One reason is that monthly gifts are ongoing. But your donors have agreed to that, so this shows they’re committed to your organization. 

These are long-term donors and long-term donors should always be one of your priorities.

How to get started

If you don’t already have a monthly giving program, make this the year you start one. Remember, it will help you raise more money, which is even more important during these uncertain times.

A good way to start is to invite your current donors to become monthly donors. Your best bet for monthly donors are people who’ve given at least twice. These are donors who have shown a commitment to you.

That doesn’t mean you can’t ask first-time donors. This could be a good way to connect with donors from your most recent campaign. And if you haven’t officially welcomed your new year-end donors, do that now. 

Make monthly giving the go-to option

Put monthly giving front and center in all your campaigns. It should be an easy option on your donation page. Include it on your pledge form and make it a prominent part of your appeal letter, maybe as a PS.

I can speak from personal experience that once I started giving monthly, that’s the way I wanted to give to all organizations. Your donors would probably agree. Each year I’m happier to see that more organizations are jumping on the monthly giving bandwagon.

Organizations that don’t offer a monthly giving option are making a mistake. Some have a minimum donation, which I would also not recommend, if possible. If you do have a minimum, make it $5 a month instead of $10. 

If your reason to have a minimum donation amount is to save money on your expenses, is that happening if your minimum deters someone from giving at all? You often have to invest a little to raise more money. And you should raise more money with a monthly giving program.

Make your monthly donors feel special

You need to do a good job of thanking your monthly donors. Go the extra mile and segment your monthly donors into new monthly donors, current monthly donors, and current donors who become monthly donors.

This way you can personalize their thank you letters to make them feel special. Be sure to mail a thank you letter, or even better, send a handwritten note. An email acknowledgment is not enough.

Many organizations send a monthly acknowledgment email or letter, and most are just okay. Some are basically only receipts, and as I mentioned in a recent post, your thank yous need to be more than a receipt. Yes, it’s helpful to know the organization received your donation, but you’re not practicing good donor stewardship if that’s all you do.

You could spiff up these monthly acknowledgments, both by making them sound like they were written by a human and not a robot, and by providing some engaging updates.

One thing you should do is send your donors an annual summary of their monthly gifts. This is extremely helpful for people who itemize deductions. Make this letter more than just a receipt and use this opportunity to connect with your donors. Pour on the gratitude and let them know how their monthly donations are helping you make a difference.

Reach out at least once a month

Your monthly donors made a commitment to you by giving every month. Make the same commitment to them by reaching out at least once a month.

You could create a special newsletter for monthly donors or include a cover letter referencing monthly donors. If that’s too much, you could give a shout out to your monthly donors and include information on how to become a monthly donor in your newsletter.

A thank you video is always welcome. Consider personalizing it, if you can. You could also provide other video content, such as a virtual tour, for your monthly donors.

You could include a list of your monthly donors in a newsletter, annual report, or on your website. Donor lists are just one of many ways to show appreciation and not the only one, so do much more than just that. Of course, honor any donor’s wish to remain anonymous.

Thank yous, newsletters, and updates are not a one-time time deal. Keep it up throughout the year. Many nonprofits start out communicating regularly with their monthly donors and then disappear after a couple of months. Always make a point to stay in touch with your donors.

Create a special section in your communications calendar specifically for monthly donors to help you with this.

Go all out for your monthly donors

I highly recommend a contact person for your monthly donors in case they need to update their credit card information or make a change to their gift, hopefully an upgrade. Include this information in their welcome letter or email. If you send a monthly acknowledgment email, be sure to include a link where your donor can make changes.

Another way to help out your monthly donors is to let them know when their credit cards are about to expire. Don’t rely on your donors to remember this, because most likely they won’t. You also don’t want to miss out on any revenue. Remember, small donations add up.

Set up a system where you can flag credit cards that will expire in the next month or two. Then send these donors a friendly reminder email/letter or give them a call. 

My monthly giving credit card expired last fall. Only a couple of organizations contacted me before the expiration date and one was quite adamant and even contacted me before I received my new card. Of course, a few slipped through the cracks and I didn’t hear from these organizations until after the donations didn’t go through. Remember to take the lead on this.

You could encourage donors to give via an electronic funds transfer from their bank account instead. Then neither you nor your donors need to worry about expiring credit cards.

Once a monthly donor, always a monthly donor

Once someone becomes a monthly donor, you must always recognize them as such. You most certainly should send fundraising appeals to monthly donors, but not the same ones you send to other donors.

You can ask your monthly donors for an additional gift during one of your fundraising campaigns, but you MUST recognize they’re monthly donors. For example – We really appreciate your gift of $10 a month. Could you help us out a little more right now with an additional gift? People in our community are having a hard time paying their heating bills because of rising fuel costs.

You can also ask your monthly donors to upgrade their gifts after a year or so. Be as specific as possible – We’re so happy you’re part of our family of monthly donors and are grateful for your gift of $5.00 a month. Many families are having trouble making ends meet and we’re serving triple the number of people at the Eastside Community Food Pantry right now. Could you help us out a little more with a gift of $7.00 or even $10.00 a month?

If you send the usual generic appeal, imagine your donor saying – “I already give you $10 a month and you don’t seem to know that.”

But if you let those committed monthly donors know you think they’re special, they’ll be more likely to upgrade or give an additional gift. Many monthly donors have stepped up and given additional donations over the last three years. That’s what you want. And, if they do give an additional donation, be sure to thank them for that.
